Who can open a document

  • The person who added it. Always.
  • The people who manage documents: the Business owner and every Member with the Documents permission. They can open it, unless it is private. To edit it, a Member needs Write.
  • The people it is shared with: the employees or candidates you chose in Associate with, while the share switch is on. They can only open it. See Share a document with an employee or a candidate.
  • The people who see a task the document is attached to. They open it from the task.

Check who can see a document

Open the document and choose the Access tab. Who can see this lists each person or group, with Can edit, Can open or Can’t open.

In the list, the Access column gives the same answer in short:

  • Employees: the people it is shared with can open it.
  • Managers only: only the people who manage documents can open it.
  • Private: only you, and the people it is shared with.

Make a document private

  1. Add a document, or open one and click Edit.
  2. Open More options.
  3. Turn on Private to you.
  4. Click Save.

Other people who manage documents can no longer open or edit it, not even the Business owner. The people it is shared with can still open it.

When you turn Private to you off again, the document is shared with everyone who manages documents again, and they get an e-mail about it.

Open the document, choose the Access tab and click Copy link. The link opens the document’s page. Only the people who can see the document can open it.
