How sales invoices work
Sales invoices are the bills you send to your clients. Skileo numbers them, makes their PDF, sends them by e-mail and follows what each client paid.

What a sales invoice is
A sales invoice is a bill you send to a client. Skileo gives it a number, makes its PDF, sends it by e-mail and keeps track of the payments. The same list holds your credit notes.
Open Finances › Sales invoices in the menu.
From an invoice to a payment
- You create the invoice. See Create a sales invoice.
- You send it to your client. See Send an invoice by e-mail.
- The client pays online on the invoice’s page, or you record the payment yourself. See Let clients pay an invoice online and Record a payment on an invoice.
- The status of the invoice follows the payments and the due date. See What invoice statuses mean.
What you see in the list
Each line shows:
- Number: the number of the invoice, its category and the client. Click the number to open the invoice page. Click the eye icon to see the invoice without leaving the list.
- Date: the date of the invoice.
- Total: the total, in the currency of the invoice.
- Client: the client.
- Status: the status, the date the invoice was sent (Sent on) and, once it is paid, the date of the first payment (Paid on).
- Open balance: what the client has paid and what is still due.
Two more columns are hidden at first: Due, the due date, and Payment, the payment method. Use the column button to show them. A void invoice shows faded.
The totals at the top
Above the list, Skileo adds up the invoices it shows, in your main currency:
- Invoiced: the total of the invoices, less the credit notes.
- Paid: the invoices paid in full.
- Partially paid: what clients already paid on invoices paid in part. It shows only when there are some.
- Not paid: what is still due and not late yet.
- Overdue: what is still due after the due date.
- Draft: the total of the drafts. Drafts count in no other total.
Void invoices count in no total. An invoice in another currency is converted at the rate of its date. The totals follow your search and filters.
The period
The list starts with the invoices of this year (This year). To see other dates, change the Reporting period.
If you have no invoice in the period but older ones exist, the list offers Load past invoices. It shows the invoices from 1 January of the year of your latest invoice.
Find an invoice
- Click Search and type part of the number, the description or the internal note. The search doesn’t look at client names: use the Client filter for that.
- Click Show filters to filter by Reporting period, Client, Category, Payment method, Payment status or Amount. With two series or more, you can also filter by Invoice series.
- Turn on Drafts only to see only the drafts, or Recurring only to see only the invoices that repeat.
- Click a column title to sort the list by it.
Download the list
- Click Export.
- Choose the columns you want.
- Click Confirm.
Skileo downloads a CSV file with every invoice that matches your filters, not only the current page. The amounts are in the currency of each invoice. The column titles of the file are in English.
The number in the menu
The number next to Sales invoices in the menu counts your unpaid invoices, late ones included. Drafts and void invoices are not counted.
Common questions
Why is the list empty?
Look at the Reporting period first: the list shows this year only. Then clear your search and filters. When they find nothing, the list still says that no invoices have been created yet.
Where are my credit notes?
In the same list. A credit note linked to an invoice shows Paid, because it has settled its part of that invoice. See Create a credit note.
Why does the Payment status filter have no Overdue?
Not paid in this filter includes the late invoices. To see drafts, turn on Drafts only.
Who can see sales invoices?
The Business owner, and each Member with the Finances and Invoicing permissions. See Who can see and change finances and invoices.
