Create the invoice

  1. Open Finances › Sales invoices in the menu.
  2. Click Add new and choose Invoice.
  3. Fill in the sections below. Fields with a star are required.
  4. Click Create invoice.

Skileo goes back to the list. To see the invoice as your client will see it, click Save & Preview instead.

Fill from a PDF

If the invoice already exists as a PDF, drop it at the top of the form, up to 5 MB. Skileo reads its number, date, client, currency and lines and fills them in. See Fill an invoice from a PDF or add many at once.

The invoice

  • Invoice number: Skileo fills in the next number of your series. With two series or more, choose the Document series first. You can change the number, up to 31 characters. See Number your invoices with series.
  • Currency: your main currency at first. Choose another one if you bill in it.
  • Document date: the date of the invoice.
  • Due date: the date by which the client must pay. It is optional. After this date, an unpaid invoice shows Overdue.

The client

Choose the Client in the list. If the client is not in your contacts yet, click the plus button next to the field to add them. See Add a contact.

Items

  1. For each line, type the Item description, the Qty, the Unit price and the VAT (%). A new line starts with your workspace’s VAT rate.
  2. Click Add more to add a line.
  3. To give a discount, choose Individual items for a discount on each line, or The entire invoice for one discount on the whole invoice.

Skileo adds up the Items total, the Discount, the Subtotal, the VAT or Tax and the Total.

To bill the same products or services often, save them in Settings, Invoice items. When you type a description, choose the item in the suggestions: its price and VAT fill in.

Turn on Add general terms and conditions to your invoice to print your general terms on the invoice. You write them once, in your Organization profile.

Payment

  • Preferred payment method: how the client pays you: Bank, Cash, Card, Set off or Other.
  • With Bank, choose the Bank account. Skileo writes its IBAN and BIC in the Payment instructions. You can change this text.

For the client

  • Invoice language: the language the invoice is printed in.
  • Message to the client (appears on the invoice): a short text printed on the invoice. Skileo can write it for you. See Write with AI.

Repeat

To bill the same invoice on a schedule, turn on Create a recurring invoice. See Make an invoice repeat.

More options

Click More options to add:

  • An Internal note: for your team only. Your client never sees it.
  • Use international company info, under Billing information: prints your international company details. Each line then gets an International item description, which your international client reads.
  • Additional documents: up to 10 images or PDFs, 5 MB each, kept with the invoice.

Preview the invoice

Save & Preview saves the invoice and shows it as your client will see it. From there, you can download it or send it. See Send an invoice by e-mail.

Common questions

Can I save an invoice without a number?

No. The number is required. Only the drafts that Skileo makes for you, for example with Generate recurring, have no number yet.

Why is there no plus button next to the client?

Adding a contact needs the Contacts permission set to Write. Ask the Business owner, or choose a client who is already in your contacts.

Where do I choose the category?

You don’t. Skileo files every sales invoice under your first income category. You manage categories in Settings, Payment categories.

Can I change an invoice after saving it?

Yes, until a payment is recorded on it. After that, the invoice is locked. See Record a payment on an invoice.

What happens if I leave the page before saving?

Skileo asks you first. If you leave, your changes are lost.
