How contacts work

Contacts are the companies and people you sell to and buy from. You choose them on your quotes, sales invoices and purchase invoices, which use their name and address.

What a contact is

A contact is a company or a private person you work with: a client, a supplier or a prospect. Its details, such as the name, the VAT number and the address, are printed on the quotes and invoices you send them.

Open Contacts in the menu of Accounting.

Clients, suppliers and prospects

Each contact has a Relation. It decides where you can choose the contact:

  • Client: on your quotes and sales invoices.
  • Supplier: on your purchase invoices.
  • Client and Supplier: everywhere.
  • Prospect: someone you don’t work with yet. You can send them a quote or an invoice.

You can choose any contact on a purchase invoice or an income, whatever its Relation.

What you see in the list

Each line shows:

  • Name: the contact’s logo or initials and its name. Click it to change the contact.
  • Type: the Relation.
  • VAT number.
  • Address: the address, with the country under it.
  • Representative: the legal representative of a company.

The list is sorted by name.

Find a contact

  • Click Search and type part of the name.
  • Click Show filters to show only one Relation type or one Country. Under Country, choose Not set to find contacts saved without a country.
  • Click a column title to sort the list by it.
  • Use the column button to show or hide columns.

The two contacts Skileo adds

Every workspace has two contacts from the start: “Sales without invoice” and “Purchase without invoice”. Use them for money that comes in or goes out without an invoice, for example a small purchase paid in cash. They can’t be changed or deleted. This is a default system contact and cannot be edited.
