# Fill an invoice from a PDF or add many at once

Drop a PDF on the invoice form to fill it in. To add many invoices, use Bulk upload for PDF files or Import for a CSV file, both under Add new in Sales invoices.

## Fill one invoice from a PDF

Use this for an invoice you already made in another tool.

1. Create an invoice. See [Create a sales invoice](https://www.skileo.com/help/en/create-a-sales-invoice).
2. In “Fill from a PDF”, at the top of the form, drop the PDF or click “Add file”. Only PDF files are accepted, up to 5 MB.
3. Leave “Fill in the form from the PDF” on. Skileo's AI reads the number, the date, the client, the currency and the lines, and fills them in.
4. Check every field, complete the form, and save.

If the client is not in your contacts, Skileo adds them, even if you don't save the invoice.

To put back what the form held before, turn off “Use what was read from the PDF”.

> **Note**
> The PDF stays with the invoice. The preview, the download, the e-mail and your client's invoice page then show your PDF, not the one Skileo makes. To use Skileo's PDF again, delete the file in the form and save.

## Upload many PDF files

1. Open “Finances” › “Sales invoices” in the menu.
2. Click “Add new” and choose “Bulk upload”.
3. Drop your PDF files, or click “Add file”.

Skileo reads each file and saves it as a draft invoice, with the PDF attached. It finds the client by VAT number, then by name. A client it can't find is added to your contacts. If a file can't be read, Skileo still saves a draft with the file only.

Then check each draft:

1. In the list, turn on “Drafts only”.
2. Open each draft with “Edit”, complete it, and save it.

## Import invoices from a CSV file

1. Click “Add new” and choose “Import”.
2. In “Select document type”, choose “Invoice” or “Credit note”.
3. Choose your CSV file. From Excel or Numbers, save the file as CSV first.
4. Click each column title of your file and choose the Skileo field it goes to. The fields marked “Required” must be matched.
5. Click “Next”. Skileo checks the rows and tells you how many are valid.
6. Click “Import”. Only the valid rows are added.

How Skileo reads the file:

- Each row is one invoice with one line.
- A row with the number of an invoice you already have is skipped.
- The client is found by name. A client Skileo can't find is added to your contacts.
- What the file says was paid is recorded as a payment.
- The numbering series doesn't move. See [Number your invoices with series](https://www.skileo.com/help/en/number-invoices-with-series).

## Common questions

### Is the AI always right?

No. Always check the number, the client, the amounts and the VAT before you save.

### Can I upload Word or image files?

No. “Fill from a PDF” and “Bulk upload” take PDF files only. “Import” takes CSV files only.

### Can I import purchase invoices the same way?

Yes, from “Purchase invoices”. See [Upload many purchase invoices at once](https://www.skileo.com/help/en/upload-many-purchase-invoices).
